Empower your AI Agents with the knowledge engine that centralizes your community content and custom resources for seamless management. This article explains how to build and manage the knowledge engine for your AI agents, ensuring they provide relevant responses driven by the content you curate.

## **Key information about the knowledge engine**

- **Data and privacy** : Your data remains private and is only used for the agents you create. We do not use your data to train, fine-tune, or improve any external AI models. All data processed by AI models is handled securely, and no information is stored, retained, or logged by the AI model provider. For more information, see our FAQ [here](https://help.circle.so/p/administration/ai-agents/ai-agents-overview?locale=en#will-my-data-be-used-to-train-models-without-my-permission).

- **Greater flexibility** : The knowledge engine acts as a central hub so you can manage all resources in one place. When setting up or updating agents, you can [choose](https://help.circle.so/p/administration/ai-agents/create-ai-agents?locale=en#importing-knowledge) exactly which community spaces and custom resources from the knowledge engine it can access. This means you can assign different knowledge to different agents, depending on their role or purpose.

- **Conversational context** : Within the same conversation with the AI Agent, ongoing interactions may influence the agent’s responses. However, when a new conversation begins, the context resets, and the agent relies solely on the knowledge engine without retaining prior conversation data. Agents do not train on conversations to inform new interactions.

- **Content removal** : Removing content from a space or the knowledge engine also removes it from the agent’s knowledge source.

- **Supported content type** : The knowledge engine currently supports text only. Graphs, visuals, or external URLs (even if linked in files or snippets) are not processed. Agents can cite links in conversations but cannot scrape or use information from external websites.

## **Accessing the knowledge engine**

To access the knowledge engine, click **Agents** in the left sidebar, then select **Knowledge**.

Here, you’ll see two tabs: **Community** and **Custom**. This centralized hub stores all content available for your AI agents. You can configure which specific content each agent uses, providing flexibility to tailor their knowledge while managing everything in one place.

## **Community resources**

The **Community** tab integrates with your community’s content, enabling your AI Agents to tap into a wealth of existing resources. Automatically pulling content from your community minimizes manual effort on your part.

The Community tab provides a clear overview of all eligible spaces, with detailed insights:

- **Name:** Name of the space.

- **Type** : The type of space (e.g., post or course).

- **Space group** : Name of the space group where the space is located.

- **Items included** : The total number of posts or **_published_** lessons in the space.

- **Used in replies** : The number of times AI Agents have used content from the space in their responses.

By default, all eligible spaces are automatically included in the central knowledge engine. You can narrow down the list using filters located at the top of the page. These filters allow you to sort spaces by **Name** , **Type (Course / Post)**, or **Space group**. To apply a filter, click the corresponding option and enter your desired value.

### What community resources are supported for AI agents

AI agents can learn from content inside your community. At this time, the knowledge engine supports two space types: **Post spaces** and **Course spaces**. You’ll need to assign the space to the agent’s knowledge for the content to be included.

- **Post spaces -** From post spaces, the agent can use the following from the **published** post:

- **Course spaces -** From course spaces, the agent can use the following from the **published** lessons:

**Helpful tips:**

- **Refreshing knowledge for transcripts:** If you enable or upload transcripts for the uploaded videos after adding a space to the agent’s knowledge, you can refresh the agent’s knowledge. To do this, remove that space (or post) from the agent’s knowledge and save the changes. Then go back to the agent’s knowledge setup and re-add the space so the agent can pull in the updated transcripts.

- **Training agent on live video recordings** : If you’d like your agent to learn from a Circle live stream or live room recording (whether it’s a live event or an instant live session recording), you can upload the recording in a new post. Make sure that transcription is enabled for that video. The agent can use the transcript of the recording as part of its knowledge.

### Automatic content integration

- All eligible community spaces, whether public, private, or secret, are automatically synced with the knowledge engine.

- When creating or editing an AI Agent, you can easily specify which spaces it should draw from, giving you precise control over the content that shapes its responses. This allows you to train each agent on the different spaces based on their use cases.

- New posts and lessons published in your community are automatically incorporated into the knowledge engine.

- Updates to posts or lessons in these spaces are resynced to the knowledge engine within a few minutes, ensuring your AI Agents always have access to the latest information.

> **💡 Tip** : Regularly review community content to ensure accuracy and relevance, as outdated posts or lessons may impact agent performance.

## **Adding custom resources**

The **Custom** tab allows you to manually curate content, giving you precise control over what your AI agents learn. You can add content through files or snippets, as described below.

> ℹ️ **Note:** When the AI Agent uses content from your custom knowledge, it does not cite custom resources, such as snippets or files, as sources in the conversation. This keeps your custom resources secure and prevents them from being available to members for download.

### **Adding files**

Upload manuals, FAQs, or internal documentation to provide specialized knowledge. The knowledge engine supports PDF, TXT, and SRT files (up to 100 MB each).

To upload files:

1. Click **Agents** in the left sidebar, then select **Knowledge**.

2. Navigate to the Custom tab and click **Add content,** then select **File**.

3. **Drag and drop** files from your device or click **Choose files** to browse your device’s file directory.

4. After uploading, it may take a few minutes for the content to sync with the agent.

5. Click **Add.**

**Tips for files** :

- Break large files into smaller, focused documents to improve response relevance.

- For external resources like web pages, images, or graphs, summarize their content as text in a PDF or TXT file, as the engine does not process non-text data or external URLs.

- For audio or video, upload a transcript (using an SRT or TXT file) so the agent can read and use the content.

### **Adding custom snippets**

Custom snippets allow you to add specific text directly to the knowledge engine, which is ideal for information like FAQs, key definitions, or procedural steps.

To add a snippet:

1. Click **Agents** in the left sidebar, then select **Knowledge**.

2. Navigate to the Custom tab and click **Add content,** then select **Snippet**.

3. Add a title and input the content in the body of the snippet.

4. Save the snippet to include it in the knowledge engine.

5. Click **Add.**

**Tips for snippets:**

- Craft snippet titles that include specific keywords or mirror common user questions.

- To help the agent, you can begin each snippet with a brief introduction explaining what the snippet is for, when it should be used, and the types of questions or scenarios it addresses. (e.g., “This snippet provides steps to resolve common login issues, such as how members can log in to the SSO provider, incorrect passwords, or account lockouts.”). Follow with the core content in a separate section.

- Break lengthy or multifaceted content into multiple snippets, each addressing a single topic or question. Use clear, concise language and include relevant keywords to enhance discoverability.

- Organize content using headings, subheadings, bullet points, or numbered lists to create a clear hierarchy. This helps the agent parse and retrieve information efficiently.

## Managing custom resources

The **Custom** tab provides a clear overview of all your custom resources, with detailed insights:

- **Title:** Name of the resource (e.g., name of the file or title of the snippet).

- **Type** : The type of resource (e.g., file or snippet).

- **Used in replies** : The number of times AI Agents have used the content from a resource in their responses.

You can narrow down the custom resource list using filters located at the top of the page. These filters allow you to sort resources by **Name** and **Type** (Type of resource). To apply a filter, click the corresponding option and enter your desired value.

### Previewing resource content

You can preview the custom resources you’ve added to the knowledge engine, including snippets to quickly review their content.

Locate the resource and click the title of a resource to open the preview. This opens a preview panel showing key details, including:

- **Assigned agents** (which agents can access or use the resource)

- **Resource type** (e.g., PDF, TXT, etc.)

- **File size**

- **Creation date**

- **Usage stats** (number of times the resource has been used in AI-generated replies)

If the resource content is too lengthy to display entirely within the preview, you’ll see a prompt to download the file for a full review.

At the top of the preview, you’ll also find quick action icons depending on the type of resource:

- **Edit** : Edit the custom snippet to update the information.

- **Download** (for files): Save the file to your device.

- **Delete** : Permanently remove the resource from the knowledge engine.
